We are seeking an organized Rentals Coordinator to oversee lease administration, tenant communications, and property compliance. This role involves managing rental agreements, processing lease renewals, and coordinating move-ins and move-outs. You will also ensure that properties remain compliant with Real Estate Council of Alberta (RECA) standards.

The ideal candidate is detail-oriented, proactive, and able to handle multiple tasks efficiently. You’ll work closely with tenants, property owners, and internal teams to ensure smooth rental operations and clear communication.
Responsibilities
- Respond to emails related to leases, rent payments, utilities, and maintenance notices with a strong customer service mindset
- Manage rental agreements, ensuring they are signed, updated, and logged in a computer-based data management system
- Verify renters have valid tenant insurance and update documentation as needed • Take and upload property photos for advertising and internal database records • Advertise rental properties on social media and respond to inquiries • Track open properties, tenant move-ins/move-outs, and lease renewals • Ensure compliance with RECA regulations and coordinate tenancy dispute resolution hearings as needed
- Complete regular rental property inspections and follow up on maintenance requests
- Facilitate tenant property showings and the potential tenant screening process • Develop clear and consistent client messaging for move-ins and move-outs • Schedule and process lease renewals, evictions, and tenant notices
- Maintain accurate records, including receipts, statements, and lease documentation
- Facilitate smooth tenant transitions by coordinating key handovers and move-out processes
- Keep files organized and manage inactive subscriptions
What you need to succeed
- Strong administrative and organizational skills
- Experience in property management or rental coordination is an asset • Knowledge of Alberta tenancy laws and RECA regulations preferred
- Ability to manage multiple deadlines and communicate effectively with clients and tenants
- Detail-oriented, proactive, and able to work both independently and collaboratively

- Proficiency in property management software (Buildium experience is a plus) • Real Estate Council of Alberta (RECA) Licensing
- Post-Secondary Certificate/Diploma in Property Management or Real Estate Administration
